If you visit our offices which have CCTV systems operated for the security of both our clients, visitors and staff. These systems may record your image during your visit.

By booking an appointment, purchasing a product, or using our services, you ("you", "your", "Client") agree to be bound by these Terms, which form a legally binding contract. These Terms incorporate our Privacy Policy and are in addition to any other terms of service applicable to and available on our website.

Eligibility and Health Disclosure

  • You confirm that you are at least 18 years of age and possess the legal right and ability to enter into this Agreement.
  • Full disclosure of your health conditions, allergies, medical history, and any other pertinent health information is required at the time of booking. Failure to do so may result in the refusal of service for safety reasons, and may affect the applicability of our cancellation policy.

 

Services Booking, Cancellations, and Refunds

  • A valid credit or debit card must be provided to secure all bookings.
  • Cancellations must be made within the Standard Cancellation Period to avoid charges. Specific services may require a longer notice period, as noted at the time of booking.
  • Non-attendance ("no-show") or cancellations made outside of the Standard Cancellation Period will incur a full charge of the scheduled service to the card on file, unless otherwise specified.

 

Card Capture and Charges Policy

  • We implement a card capture policy to secure bookings. By providing your card details, you authorise us to charge any cancellation fees or unpaid treatment costs as described in these Terms.
  • Charges will be processed only in accordance with our Cancellations and No-Show Policies. You will be notified of any such charges beforehand.
  • All payments for services rendered or products purchased must be settled in full at the time of service or sale. Prices are subject to change without prior notice but will not affect confirmed bookings or purchases.

 

Product Sales and Delivery

  • Products available for purchase are subject to availability. Descriptions and prices of the products are specified on our website and may be amended at any time without notice.
  • Delivery charges and estimated timescales for delivery will be specified during the order process. We are not responsible for delays outside our control.

 

Client Obligations

  • Clients agree to follow all preparation and aftercare instructions provided by Petts Wood Spa for any service or treatment.
  • You agree to conduct yourself in a respectful manner while at our premises. We reserve the right to refuse service or terminate a service in progress if a client's behaviour is deemed inappropriate or unsafe.

Appointment & Cancellation Terms & Conditions

Booking Services

    • Services at Petts Wood Spa must be scheduled in advance to ensure availability. You can secure your appointment through our online booking platform, by contacting us directly via telephone, or in-person at our premises.
    • At the time of booking, you are required to provide a valid credit or debit card to hold your appointment. This policy supports our commitment to providing the best possible service to all clients by efficiently managing our schedule.
    • Please disclose any health conditions, allergies, or other medical concerns that could affect your treatment when booking. This information is crucial for us to tailor our services to meet your needs safely and effectively.

Cancellations and Rescheduling

    • We understand that sometimes schedules change and appointments need to be canceled or rescheduled. We kindly request that you notify us at least 24 hours in advance for standard appointments and 48 hours in advance for sessions scheduled to last 2 hours or more. This allows us to adjust our schedule and accommodate other clients.
    • Cancellations or rescheduling requests must be made by contacting our customer service team via the method used for booking or through your client account on our website.
    • If a cancellation is made within the required notice period, you will not incur any charges, and any prepayments will be fully refunded or can be applied to a future appointment, based on your preference.
    • Late cancellations, defined as those not made within the specified notice period, will result in a charge equal to 100% of the scheduled service cost. This fee will be charged to the credit or debit card on file.
    • Non-attendance without any prior cancellation notice ("no-show") will also result in a 100% charge of the scheduled service cost to the card on file.
    • In exceptional cases, such as emergencies or unforeseen circumstances, we may waive the cancellation fee at our discretion. Please contact us as soon as possible to discuss your situation.

Card Capture Policy

    • By providing your payment details at the time of booking, you authorize Petts Wood Spa to charge your card for any applicable service charges, including late cancellation and no-show fees, as outlined above.
    • All charges will be processed in compliance with our Cancellation Policy. You will be notified in advance of any charges applied to your card for your transparency and consent.

Amendments to Services

    • Petts Wood Spa reserves the right to modify or cancel any booked appointments due to unforeseen circumstances, including staff availability or emergencies. In such instances, we will notify you at the earliest opportunity and offer to reschedule your appointment or provide a full refund for any charges already incurred.

 

We value your understanding and cooperation with our Service Booking and Cancellation Policy, ensuring we can continue offering high-quality services to all our clients. For any questions or to discuss your appointment, please reach out to our customer service team.

Gift Card Terms and Conditions

Validity and Redemption:

Gift Cards are valid for 6 months from the date of purchase and are redeemable for full or partial payment towards any full-priced treatment services at Petts Wood Spa, unless otherwise stated. Physical Gift Cards must be presented at the time of service and have no cash value.

e-Gift Cards:

e-Gift Cards will be delivered to the recipient's email address as specified by the purchaser at the time of purchase. The delivery date can be set by the purchaser to a specific date. To activate the e-Gift Card, the recipient must claim and follow the activation steps provided in the delivery email.

 

Cardholder Responsibility:

Gift Cards are not linked to a specific customer profile, and the bearer of the Gift Card is deemed the owner. The cardholder is responsible for its safekeeping, and Petts Wood Spa will not replace lost, stolen, or damaged cards.

 

Usage Restrictions:

Gift Cards are non-refundable, cannot be exchanged for cash, and are not valid in conjunction with other offers, discounts, or for product purchases, unless otherwise stated. Only e-Gift Cards purchased online can be used as a deposit for making online bookings.

 

Expiry and Deactivation:

Gift Cards expire 6 months from the date of purchase. Cards not used by their expiry date will be deactivated and removed from our system. An extension of the card's expiry date is only possible if the cardholder contacts Petts Wood Spa prior to the expiration of the card, and such an extension will be granted solely at our discretion.

 

Balance Inquiries:

To check the balance of a Gift Card, the holder must contact Petts Wood Spa and provide the unique gift card number. Balance inquiries cannot be conducted without this number.

Changes to Terms:

Petts Wood Spa reserves the right to amend the terms and conditions of Gift Cards without notice. The most up-to-date conditions are always accessible on our website at www.pettswoodspa-clinic.co.uk, and changes will not affect your legal rights.

VIP Membership Terms and Conditions

VIP Membership Terms and Conditions

  1. Membership Duration and Renewal

VIP membership will be valid for the period of time specified at the time of purchase, namely 6 months for the VIP Gold Membership, 12 months for the VIP Platinum Membership, and 24 months for the VIP Diamond Membership. Membership is non-transferable and non-refundable. The membership can be renewed at the end of the membership period at the then-current membership rate.

VIP membership entitles the member to the following benefits:

  • A discount of 15% on all Spa treatments Gold members from Monday to Thursday.

  • A discount of 20% on all Spa & Clinic treatments for Platinum and Diamond members everyday.

  • A discount of 10% on all products (20% for Diamond Members).

  • A discount of 20% an Spa treatments for friends and family who are new clients and who book and attend together with the VIP member.

  • Early access to special offers.

  • Priority online future booking up 75 days (30 days for non VIP)

  • Add-ons and upgrades as specified for each membership level with only Spa treatments.

  • We may also include special benefits as promotion, such as free points and referral benefits.

  1. Discounts and Offers

Discounts apply only to treatments and products offered by the Petts Wood Spa and Clinic. Discounts cannot be combined with any other promotional offers or vouchers unless otherwise stated. Discounts are not valid on retail products or other services not offered by Petts Wood Spa and Clinic.

  1. Add-ons and Upgrades

The free add-ons and upgrades specified for each membership level are redeemable only in Petts Wood Spa and during the membership period and cannot be carried forward. Add-ons and upgrades are subject to availability and must be booked in advance. Add-on and Upgrades cannot be redeemed on Petts Wood Clinic services. Add-ons and Upgrades are subject to change.

  1. Loyalty Points Scheme

VIP Members are automatically enrolled in our Loyalty Points Scheme and can earn 3% extra cash back in points for every pound spent on services, products, and course passes purchases. These points are subject to our Loyalty Points Scheme Terms & Conditions.

  1. Cancellation and Refund Policy

VIP membership is non-refundable and non-transferable. If a member wishes to cancel their membership before the end of the membership period, no refund will be provided.

  1. Changes to Membership Benefits and Terms and Conditions

We reserve the right to change the benefits and terms and conditions of VIP membership at any time without notice. Any changes will be posted on our website and will be effective immediately upon posting.

  1. Termination of Membership

We reserve the right to terminate a VIP membership at any time without notice for any breach of the terms and conditions of membership or any inappropriate or disruptive behaviour at the our premise. No refund will be provided in such cases.

Loyalty Points Scheme Terms & Conditions

Loyalty Points Scheme Terms and Conditions

Eligibility: Only VIP members who purchase services, products, or course passes are eligible to join the Loyalty Points Scheme. Certain clinic services and course passes may be excluded.

Earning Points: Points are earned at a rate of 3% cashback in points for every pound spent on eligible services, products, and course passes at our salon. Points will be added to the customer’s account at the time of purchase. Points are not awarded for the purchase of gift cards or vouchers.

Redemption: Loyalty points can only be redeemed by VIP members against services provided in our salon. Points cannot be redeemed for cash, products, gift cards, vouchers, or online purchases. Points cannot be transferred to another customer’s account. You must have a minimum of 300 points (worth £3) before you can redeem them. No more than 1000 points can be redeemed on each visit.

Expiry: Loyalty points do not expire while the customer holds VIP membership. If the customer is not a VIP member and does not visit our salon for two consecutive months, their loyalty points will expire at the end of the second month. Expired points cannot be reinstated.

VIP Membership: To earn and redeem loyalty points, customers must be VIP members. VIP membership plans are available on our website or in-store and can be purchased by paying the relevant fee. Customers can also become VIP members through promotional offers. Please see our VIP Membership Programme terms and conditions for more details.

Point Calculation: Loyalty points are calculated based on the actual amount spent by the customer, after any discounts or promotions have been applied. For example, if a customer spends £100 and receives a 10% discount, they will earn loyalty points on the remaining £90.

Returns and Refunds: If a customer returns a product or cancels a service for which they earned loyalty points, the points earned on that purchase will be deducted from their account.

Abuse: Any abuse of the Loyalty Points Scheme, including but not limited to fraud, inappropriate behaviour, or violation of any of the terms and conditions of service, may result in the immediate cancellation of the customer’s membership and the forfeiture of all loyalty points earned.

Modification and Termination: We reserve the right to modify, terminate, or change the Loyalty Points Scheme at any time without prior notice. We will, however, endeavour to provide reasonable notice to our VIP members of any such changes. Points are awarded at the discretion of the management and may be withheld or withdrawn at any time without notice.

Governing Law: These terms and conditions are governed by the laws of the United Kingdom, and any disputes arising out of or in connection with these terms and conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.
